gPanel Administration: Overview

Explore the gPanel administration tools to understand core features, settings, and best practices for Google Workspace.

It’s important to be in control of the data inside and outside of your company and with gPanel's Administration module, you'll be in total control.

Indexing

The Indexing section is where you can manually re-index your users, org units, and/or groups.

gPanel will automatically re-index each time a user logs in, but changes made in the Google Admin console in the interval may not be reflected until the next re-indexing.  We recommend, as a best practice, to make such changes in gPanel as these changes will be applied immediately to your domain. 

If you have made changes in the Google Admin console that aren't reflected in gPanel, re-index the corresponding entity (users, org units, or groups) or the entire domain in gPanel to ensure that gPanel reflects the entities on your domain accurately.

Labs

The Labs section of gPanel Administration is very straight forward. These are what we call “Pre-Gold” functions — settings we’ve put through rigorous Promevo testing but didn’t want to drop on our entire application-base all at once. This is also where we implement new APIs from Google, so gPanel can give you the latest and greatest features.

Anything with this green laboratory vase icon next to it represents these “Pre-Gold” functions. While we here at Promevo feel confident about their use, please turn on at your own risk tolerance.

Role Manager

The third section in the gPanel Administration module is Role Manager. Roles are "Permission Sets" that should only be given to employees based on the needs of their role in the organization. Every action in gPanel is controlled by a permission within a role.

For example, you can create a granular role for your support team whose responsibilities would probably include things like creating new users, managing groups, updating user profile information, and so on. This role would limit their visibility of other features and only allow them to execute their set actions.

gPanel comes with one "Administration Role" by default. This role is labeled as “Admin.” Please note that initially the only user that will be placed in the default "Admin" role is the Google Workspace Super Admin who installed gPanel from the Google Workspace Marketplace.

All other users within your domain will automatically be added to the user role. By default, the user role limits their access solely to the gPanel user portal. You can completely manage roles, their permissions, and the members of these roles.

The Role Manager also offers the ability to clone a role which can save time. Cloning roles can save time but sometimes they can cause a headache and you accidentally miss removing a permission that someone shouldn’t have.

We recommend building your roles from the ground up. This means only adding permissions that are needed by the user in that role rather than cloning a role and removing permissions to match.

gPanel API 

Next, we have the gPanel API. This tool is exclusive to gPanel's Enterprise tier and provides access to all system logs and automates onboarding, decommissioning, and standard policies.

The gPanel API also allows you to integrate your Google Workspace environment with your organization's HRIS, CRM, and ERP systems, so admins can more easily manage and audit their data and streamline workflows.

Settings

The Settings section is the final component of the gPanel Administration module. It provides a robust suite of options to configure and secure your gPanel environment.

Below is an overview of the current configuration options available:

  • Set gPanel Admin: This is where you designate the authentication user for gPanel. All actions performed within the platform are authenticated against this account. By default, this is the administrator who installed gPanel. We recommend using a dedicated "admin service account" so that authentication remains stable even if a specific administrator leaves your organization.

  • IP Intrusion: This security feature allows you to whitelist or blacklist specific IP addresses, giving you granular control over who can access your gPanel instance.

  • Secondary Domains: Use this section to include any secondary domains owned by your primary organization. This ensures that users within those domains can be managed seamlessly through gPanel.

  • Timezone: This allows you to configure the global timezone for your domain to ensure all logs and scheduled tasks are synchronized correctly.

  • Custom Labeling: This feature allows you to customize the visual branding and aesthetics of the gPanel User Portal to match your organization's identity.

  • Google API Status: This provides a real-time health check of the connection between gPanel and Google Workspace APIs, ensuring all management features are functioning as intended.

  • Session Timeout: For enhanced security, this setting allows you to define the duration of inactivity permitted before a user is automatically logged out of gPanel.

  • Welcome Templates: This section allows you to create and manage the automated email templates sent to new users when they are first onboarded into the system.
