In a large Google Workspace environment, contact synchronization is the engine that keeps your team connected. However, as projects conclude, vendors change, or organizational structures shift, many synchronization rules can become obsolete.

The Delete Contact Sync function allows administrators to permanently retire these automation policies from the system. Regularly auditing and deleting redundant sync rules is a best practice that ensures your administrative dashboard remains uncluttered and your data flows remain efficient.

When you delete a sync policy in gPanel, you are making a specific choice about how that data should be handled moving forward. It is important to distinguish between removing the "rule" and removing the "data."

  • Removing the Policy Automation: By clicking the delete icon, you remove the specific configuration from your active automation list. This means the rule will no longer trigger, and any changes made to the source contact list will no longer propagate to the destination users.

  • Legacy Data Retention: By default, deleting a sync policy simply stops the "link." It typically does not automatically remove the contacts that have already been pushed to user accounts. This allows users to retain their existing contact history while stopping future updates.

  • Administrative Cleanup: This function is primarily used to "declutter" the gPanel dashboard. Removing old or redundant sync rules prevents confusion for other administrators and ensures that only active, verified syncs are running within your domain.

Step-by-Step: Deleting a Contact Sync in gPanel

  1. Navigate to the list of all active Contact Syncs. Select the specific policy you wish to remove; the row will be highlighted to confirm your selection.
  2. Click Delete Sync  in the action menu.

  3. A confirmation popup will appear. This is a critical step:

    • Standard Delete: If you just want to stop the rule but keep the contacts in the users' accounts, simply click Delete.

    • Full Cleanup: If you want to permanently delete the labels and contacts associated with this sync from all destination user accounts, you must check the box within the popup.

  4. Once you have selected the appropriate deletion level, click Delete to finalize the process.
