How to Run a Report in gPanel

Learn how to run reports in gPanel to track usage, identify issues, and gain insights into your Google Workspace environment.

In gPanel, reports are designed to be low-maintenance. While the system excels at automated, scheduled delivery, there are many instances where an administrator needs immediate data to answer a security query or fulfill a snap audit request. Understanding the mechanics of how these reports execute—and how they populate within your Google Drive—is essential for efficient domain management.

Running a report is more than just a data export; it is a live call to the Google Workspace API to aggregate and format domain metadata into a professional, shareable Google Sheet.

Methods for Running a Report

There are two primary ways a report is triggered within the gPanel interface:

  1. Automated Execution: If you have configured a Set Schedule (Daily, Weekly, or Monthly), gPanel will automatically trigger the report at the designated time. No manual intervention is required, and the final sheet will be placed in your specified destination folder.

  2. Manual Execution (Run Now): For reports that are not scheduled—or when you need a fresh data pull between scheduled runs—you can initiate a manual run. Navigate to your list of reports, hover over the desired entry, and click the Run Now (Play button) icon that appears on the right side.

The Background Processing Phase

When a report is triggered, gPanel opens a new browser tab with a generated Google Sheet. It is important to note that the report may initially appear blank. This is normal behavior.

Because gPanel processes large datasets in the background to avoid timing out, it "streams" the data into the spreadsheet. Depending on the size of your domain and the complexity of the report (such as a full Drive audit), it may take several minutes for the rows to begin populating.

Verifying Report Completion

To ensure data integrity, always verify that the report has finished its execution before sharing it with stakeholders. gPanel provides two clear indicators of success:

  • The Completion Message: At the very bottom of the Google Sheet, the system will append a "Completed" message.

  • The Timestamp: Along with the completion status, gPanel will log the exact date and time the report was finalized.

Seeing this footer ensures that every relevant record has been processed and that you are viewing a complete "System of Record" for that specific audit.
