Managing Google Workspace at scale means that a single misconfigured rule can ripple across your entire organization.
Today, we're excited to announce several enhancements to the gPanel Rules Engine, that will give IT administrators more confidence, more control, and a faster path to governance automation.
What's Changing
We've overhauled the Rules Engine experience with powerful new lifecycle states, risk-mitigation tools, and expanded automation capabilities:
- Rules Lifecycle States (Draft, Enabled, Disabled): Rules now save as a Draft by default. You can build, iterate, and step away without worrying about triggering unintended actions. Work can be saved at any stage of creation, and an unsaved changes confirmation prompt prevents accidental data loss.
- Impact Estimation (Rule Preview): Before enabling a draft rule, you can run an Impact Estimation. This evaluates your rule's conditions against recent historical data to show you how many records would be matched, allowing you to see the impact before you flip the switch.
- Rule Templates: Get a pre-configured starting point for the most common governance use cases. Selecting a template creates a private, fully editable copy that populates directly into the standard rule creation flow.
- Google Group Membership Triggers: You can now automate responses based on group membership events (when a member is added, removed, or when membership changes). Filters let you scope by group name or member count, and available actions include sending an email, sending a Google Chat message, or deleting the group.
- Additional Admin Filters: Profile Field filters now include Employee Information (Manager's Email and Employee ID) and searchable Custom Attributes, allowing you to target rules to specific organizational hierarchies without complex workarounds.
- UI & Experience Improvements:
- Rule Cloning: Easily clone an existing rule to make minor edits rather than starting from scratch.
- Duplication Detection: If a new rule matches an existing one, gPanel will surface the conflict and link to the live rule to prevent redundancy.
- Policy Guidance & Previews: In-line prompts will guide you to create a policy if none exists when selecting "Run Policy" as an action, and you can now preview policies inline without navigating away.
- Redesigned Summary Page: The rules list now displays Last Modified Date, Created Date, Current State, and a Total Executions column at a glance.

Enterprise admins operate in large, complex environments where an accidental rule execution can have massive, unintended organizational impacts.
These updates directly eliminate the fear of "what happens if I turn this on?" By providing a safe sandbox via Draft states, a read-only preview via Impact Estimation, and guardrails like duplication detection, admins can deploy automation with absolute certainty.
New Group triggers also solve high-volume operational headaches—like automatically cleaning up empty groups—while expanded profile filters grant precise targeting across employee segments.
