Google Drive Labels Visibility Now Available in gPanel

We're excited to announce new updates to gPanel that bring greater visibility and control over Google Drive Labels and file sharing states directly into your management console.

What's Changing

Here's a quick summary of the Drive Labels visibility we've added to the platform: 

  • Drive Labels Integration: Drive Labels are now visible as a column across three major Drive surfaces: My Drive, Shared Drive, and Drive Search.

    • Documents can display up to 5 labels at a glance, and hovering over the list reveals the full selection.

    • If a file has no labels assigned, it will simply display a dash.

    • Labels are fully searchable and filterable within the interface.

  • Label Exporting: When exporting data from Drive Search with the Labels column selected, the exported file will feature a predictable, five-column structure for label data. Each label will occupy its own dedicated cell, and empty label cells will remain blank.

  • New Visibility Column for My Drive: A new Visibility column is now enabled by default in the Drive Explorer table when viewing My Drive. This column appears for files where the user is an owner or editor, using icons and tooltips to instantly show the file's sharing exposure state, such as:

    • Only people with access can open with link

    • Anyone within the domain can find and view

    • Anyone within the domain with the link can view

    • Anyone on the internet with the link can view

  • Centralized Label Manager: A new Label Manager sub-module has been added under Administration. This page provides a single domain-wide view of all labels associated with your domain. It includes filterable tiles at the top of the table to quickly sort through total labels, published labels, and draft labels.

  • Granular gPanel Permissions: We've introduced a new permission within the Drive subsection of Roles: Can View Drive Labels. When active, this allows designated roles to see Drive Labels across relevant surfaces for actors the user has access to. Note that a change log is not available for this specific permission.

Why It’s Important 

This update marks a major step toward establishing gPanel as your organization's definitive system of record for Google Drive content classification and governance.

By embedding these tools directly into your standard workflows, administrators no longer need to switch contexts or leave gPanel to understand which labels exist, where they are applied, or who has access to them. The addition of the Visibility column drastically reduces security blind spots by surfacing potentially risky sharing settings upfront, allowing you to catch exposure issues without opening files one by one.

Data governance is streamlined through a highly predictable, five-column export structure that lets you drop label data directly into existing audit workflows without tedious manual cleanup.

Finally, because this visibility is gated behind dedicated role permissions from day one, you can confidently roll out these enhancements under the exact same trusted access controls you already rely on. 

 

Rollout Pace 

These changes have already been fully deployed and are  live in the platform. However, you will need to enable a new scope in your Google Workspace domain in order to access these features. Visit our Knowledge Base article on enabling new scopes in gPanel for step-by-step instructions.
